Introduction

In the previous article, we introduced the "navigation function" that supports the ease of use of EMOROCO CRM Lite.

In this second installment, we will introduce the "Entity Function," a crucial feature that underpins the flexibility of EMOROCO CRM Lite.

"We want to add our own unique management items."
"I want to manage not only sales, but also inquiries and contracts all in one place."

The entity function is the solution to these kinds of requests.

What exactly is an entity?

An entity is a unit of data that you want to manage.

For example, in sales activities, the following data is managed:

  • ·customer
  • ・Project
  • Activity history
  • ·Inquiry
  • ·contract

Each of these is an "entity".

With EMOROCO CRM Lite, you can not only use standard entities, but also freely create new entities to suit your company's business processes .

What kinds of tasks can it be used for?

It can be used not only for sales management but also for a variety of other tasks.

  • ・ Customer management
  • • Inquiry management
  • ・Contract management
  • • Estimate management
  • - Internal application management
  • ・Equipment management
  • Project progress management
  • - Event management, etc.

This is an example of migrating tasks currently managed in Excel to EMOROCO CRM Lite.

Entity List Screen

First, here's a list screen where you can see the entities you're currently using.

From here, you can edit existing entities or create new ones.

Create a new entity

For example, if you want to add "Contract Management," you would register the entity from "Create New."

The main items to configure are as follows:

  • ·display name
  • Plural display name
  • Logical name
  • ·Explanation

With just this, you can create new management targets tailored to your business needs.

Add any items you need.

After creating the entity, add the items you want to manage.

For example, in contract management,

  • • Contract number
  • ・Customer name
  • • Contract start date
  • • Contract end date
  • • Contract amount
  • ·status

You can configure these settings.

Entities can be associated with each other.

EMOROCO CRM Lite also allows you to associate entities with each other.

For example,

  • • Customer → Multiple projects
  • • Projects → Multiple activity records
  • • Customer → Multiple contracts

You can set up relationships like these.

This prevents data from becoming scattered and allows for centralized information management centered around the customer.

Benefits of this feature

By utilizing entity functionality, you can enjoy the following benefits:

  • - Allows for management tailored to your company's operations.
  • - You can move away from Excel management.
  • - Information can be centralized.
  • - Can flexibly adapt to changes in business operations.
  • • Easy to expand in the future

It is particularly suitable for phased operations, such as "starting with just customer management, and later adding contract management and application management."

One-point usage example 💡

For example, in follow-up management after an exhibition,

  • Visitors
  • Business negotiations
  • ·Quotation
  • ・Order

By managing each of these as an entity, you can easily see which stage the process is currently stuck at.

Nice to meet you! I'm a newbie who jumped into the IT industry in March 2025 and am still learning. I started with no experience in programming or IT, but I'm working hard every day, valuing the motto of "study every day, grow every day, and be grateful every day." There's a lot I don't understand, but that's also why I enjoy learning so much! I'm aiming to move forward little by little and become an engineer who can be useful to others. I look forward to working with you!
