External Connector Functionality: Practical Application — Automating the Integration of Contract Data into the Accounting System

Hello, this is Matsubara, CRM Evangelist.

The idea of not "isolating" CRM

No matter how much data you store in your CRM, if it remains isolated from other business systems, duplicate entries and transcription errors will continue to occur.
Manual tasks such as manually updating the accounting system once a contract is finalized, or manually transferring inquiries to other notification tools, halve the effectiveness of CRM implementation.

EMOROCO CRM Lite's external connector function is designed to transform CRM from a standalone management tool into a hub connecting the entire business system.
This time, we will explain practical usage based on the specific example of "automatically linking contract data to an accounting system."

Settings items on the new connector creation screen

When creating an external connector, configure the following items:

  • Connector name: Set a name that is easy to manage.
  • Provider: Type of integration partner (e.g., API)
  • TypeExport (send from CRM to an external source) / Import (import from an external source into CRM)
  • Base URL: API endpoint of the partner
  • Authentication type: None/API Key/Token etc.
  • Authentication token (API Key / Token)Authentication information requested by the partner company
  • Custom header name and value: Custom headers required by some APIs
  • Connection test: After setup, you can check the connectivity on the spot.
  • To enable: Switch between running immediately after creation or not.

You can complete the connection settings with external systems using only this screen, without writing any code.

Practical example: Linking contract data to the accounting system.

Specifically, let's try creating an integration that automatically registers the contract amount and customer information in the accounting system once a contract is concluded.

  1. On the external connector settings screen, set the type to "Export" and enter the Base URL of the API provided by the accounting system.
  2. Select the API Key method specified by the accounting system as the authentication type, and configure the issued token.
  3. Run a "connection test" to confirm connectivity.
  4. Approval workflowCombined with the "Execute External Integration (API/Webhook)" action described above, set up a workflow that calls this connector when the contract record status changes to "Signed".

With this setup, contract managers can simply update the status on the CRM as usual, and the data will be automatically sent to the accounting system in the background.
This not only reduces the hassle of double-entering data, but also minimizes risks such as discrepancies in amounts due to transcription errors.

The collaborative image is not one-way.

The external connector supports not only sending data from the CRM to external systems (Export), but also importing data from external systems into the CRM.

  • Link contract data to the accounting system (Export)
  • Import data from external forms into the CRM.
  • Send inquiry data to the notification tool (Export)
  • Export sales data to an external analytics platform.

In either case, you can configure it so that an external API is executed when the CRM is updated, or that external submissions are received as CRM entities.
Web Resource FunctionCombined with its ability to provide lightweight UI extensions, it plays a role in filling gaps in business processes that cannot be adequately addressed by standard features alone.

The choice is to "connect" rather than "bring everything into one system."

Many companies have already implemented accounting systems and notification tools that they are familiar with in their respective fields.
EMOROCO CRM Lite does not aim to replace all of them with a CRM,It can be freely assembled without coding. Our approach is to connect existing systems with the core data of the CRM system.
The value of external connector functionality lies in having realistic "connection" options, rather than forcing a complete unification.
