Relationship Management Function Guide — Designing "Which data is connected to where"

Hello, this is Matsubara, CRM Evangelist.

Entities do not function on their own.

The data that makes up a CRM does not exist in isolation.

  • A single "quote" can have multiple "quote details" attached to it.
  • One "order" can generate multiple "order details."
  • One "contract" belongs to a specific "client company".
  • The "invoice details" need to show which "order" the invoice was based on.

If these "parent-child relationships" are not properly designed, even if you can freely create entities and fields, the data will end up in a disorganized state.
EMOROCO CRM Lite's relationship management feature is a screen for designing these parent-child relationships without coding.

What you can do on the relationship management screen

The relationship management screen displays a list of entities such as products, orders, quotes, order details, quote details, contracts, and invoice details.
When you select an entity, you can configure which entities are associated with it as a child entity, with that entity being its parent.

The screen displays the number of child entities that have already been set up, such as "Children: 1," making it easier to grasp even complex data structures at a glance.

For example, by setting "Order" as the parent and "Order Details" as the child, you can manage multiple detail lines linked to a single order.
This parent-child structure allows us to directly handle the overall picture of a project (how many of each product are included in the order, and at what price) as a record hierarchy.

Why is it important to be able to design relationships without coding?

While typical no-code tools allow for linking tables, they are often not designed from the outset to handle the entire business flow required for CRM, such as "account - opportunity - quote - order - contract - invoice," and require considerable customization during development.

EMOROCO CRM Lite comes equipped with a standard CRM business flow structure, and even when you add industry-specific entities (such as equipment, applications, and membership information), you can design parent-child relationships from the same relationship management screen.
Its strength lies in the fact that standard and extended features can be used with the same user experience.

Designing relationships directly impacts the accuracy of reporting.

When parent-child relationships are properly designed, the benefits extend beyond just data entry.
When compiling data such as "project-specific sales forecasts" and "order results by client" on dashboards and graphs, the more solid the foundation of relationships, the more accurate and meaningful the visualization will be.

Conversely, if the relationship design is poor, manual linking will be required every time data is aggregated.BPF allows for stage-based project progress management.Even if you do this, it becomes difficult to track which details at which stage are linked to which sales.
The essential role of relationship management is to design systems that consider not only the data entry point but also the subsequent analysis.
