Validation Settings Guide — Moving beyond CRMs that fail to detect input errors

Hello, this is Matsubara, CRM Evangelist.

Common reasons why CRM data becomes corrupted.

When you're running a CRM system, you sometimes hear comments like this:

"The phone number field has a mix of entries with and without hyphens, making it difficult to compile data." "The required contact person's name field is sometimes left blank." "Negative values were entered in the amount field."

CRM is not a system that can properly receive data simply by providing a "container."
A system is needed at the entry point to ensure that certain rules are met regardless of who inputs the data or how they input it.
EMOROCO CRM Lite's validation settings feature enables this "strict enforcement of input rules" without requiring any coding.

Six types of validation to choose from

You can choose from the following six validation types:

  • Required field
  • Maximum number of characters (MaxLength)
  • Minimum number of characters (MinLength)
  • Regular expressions (Regex)
  • Minimum value (Min)
  • Maximum value

While simply requiring a field is effective enough, the fact that it also supports regular expressions is a very practical feature.
For example, it allows you to directly reflect "our rules," which vary depending on the industry and business, such as checking the format of postal codes and telephone numbers, or standardizing the format of company-specific management numbers.

Rule addition settings

Adding a rule simply requires setting the following items:

  1. Target entity: Which entity (customers, deals, contracts, etc.) should the rule apply to?
  2. Target field: Which field within the entity should it apply to (specified by the field's logical name)?
  3. Validation typeChoose from the 6 types above.
  4. Error message: The message displayed when a rule is violated (can be changed to a message that can be understood on-site, such as "Incorrect input value").
  5. Enabled / disabled: It is also possible to temporarily turn off the rule.

You don't need to write any code; simply select entities and fields on the administration screen, set the rules and error messages, and input validation will start working immediately.

It's important that error messages are written in "on-site language."

One aspect often overlooked when implementing validation features is the clarity of error messages.
Technical messages like "Validation Error: Field xxx does not match pattern" don't tell field staff how to fix the problem.

With EMOROCO CRM Lite, you can set error messages using any text you like, so you can change them to phrases that immediately tell the user what to do, such as "Please enter your postal code as 7-digit numbers (without hyphens)."
The design aims to achieve both adherence to input rules and minimizing stress on the worksite.

Achieving both "freedom to create" and "indestructibility."

EMOROCO CRM Lite is a no-code platform that allows you to freely add entities and fields.
However, the ability to create freely is also inextricably linked to the fact that "data is easily corrupted."
The validation settings feature is a mechanism designed to alleviate the anxieties that lie behind this freedom.

The system entity management function will be streamlined, and the quality of input will be ensured through validation settings.
By combining these two elements, we can achieve a CRM that is both easy for field users to use and accumulates accurate data—a surprisingly difficult combination to achieve simultaneously.

EMOROCO CRM Lite costs ¥1,500 per user per month (minimum 3 users) and has no initial setup fee, with a 30-day free trial.https://www.emoroco.com/You can start from there.
