Approval Workflow Function Guide — Designing to visualize "whose approval is pending."

Preventing situations like, "Uh, I haven't received approval yet..."

Discounting estimates, changing contract terms, expense claims, granting special requests—there are tons of tasks on site that "cannot proceed without someone's approval."
However, when requests for approval and responses are made via email, chat, or verbally, the following situations tend to occur:

  • Approval requests are received but get buried and go unnoticed.
  • Only the person in charge knows who the final approver is.
  • It was supposed to have been approved, but there's no record of it anywhere.
  • Nobody noticed that the project was stalled, awaiting approval.

The approval workflow feature added to EMOROCO CRM Lite's workflow engine is designed to bring this "approval gap" back into the CRM.

Added "Approval Request" to Workflow Actions

EMOROCO CRM Lite's workflow was originally designed to automate a variety of actions, triggered by record creation and updates, including field updates, record creation, notification sending, formula calculations, email sending, external API data retrieval, related record field updates, external integration (API/Webhook) execution, and LINE notifications.

A new action has been added to this list: "Request Approval".
For example, rules such as "Send an approval request to your supervisor if the estimated amount exceeds a certain amount" or "Request approval from the decision-maker if the contract details are changed" can be created from the workflow settings screen without writing any code.

The abundance of triggers supports the flexibility of the approval flow.

The timing of when an approval request is generated depends on the type of trigger. EMOROCO CRM Lite workflows offer the following triggers:

  • OnCreate
  • On update (OnUpdate)
  • When deleting (OnDelete)
  • Manual execution
  • When the BPF stage changes (OnBpfStageChange)
  • When an activity is created or updated
  • When a follow-up is created or updated

Of particular interest is the "BPF stage change" scenario.
Business Process Flow (BPF)This allows for a system where, the moment a project progresses from the "estimate in progress" phase to the "awaiting approval" phase, an approval request is automatically sent.
The project progress and approval process are not separate systems, but rather connected as a single, integrated flow.

The approval request notification will be delivered to the appropriate location.

Sending an approval request is pointless if the recipient doesn't notice it.
