Comparing Pipedrive and EMOROCO CRM Lite — "Specialized for Opportunity Management" vs. "Designing Relationship Assets"

Hello, this is Matsubara, CRM Evangelist.

"Pipedrive is easy to use, but its customer follow-up after receiving an order is weak."

I've heard this phrase several times from sales representatives who use Pipedrive.

Pipedrive is certainly an excellent tool.
Visualization of sales opportunities, progress management, and intuitive operation of the pipeline—these are all best in its class.
But the question Pipedrive is trying to answer is, "How can we manage business opportunities efficiently?"

The question that EMOROCO CRM Lite aims to answer is, "How can we cultivate long-lasting and deep relationships with our customers?"

These two answers address fundamentally different questions.
The decision shouldn't be based on which is superior, but rather on what your company needs right now.

Preface:
Pipedrive is an excellent tool.
This article does not negate Pipedrive.
We will honestly determine which option will solve our company's problems.

Pipedrive's strengths: Designed to be optimized for "managing sales opportunities."

Pipedrive's greatest strength is its ability to "visualize the sales opportunity pipeline."

Pipedrive's pipeline view:

New lead → Initial contact made → Proposal in progress → Negotiation in progress → Order received → Lost deal

Each stage has a list of project cards.
You can update the progress using drag and drop.
"What stage are all the business negotiations currently at?"
You can understand it in 10 seconds by looking at the screen.

What Businessdrive excels at:

  • Short-term new business development sales (acquiring leads and closing deals)
  • Visualize the progress of sales negotiations to identify bottlenecks.
  • Manage all subsequent actions (phone call, email, visit) without fail.
  • Simply manage a small sales team.

Companies that are a good fit for Pipedrive:

• Acquiring new customers is the main business model.
• The cycle for each business negotiation is short (a few days to a few weeks).
- Only simple pipeline management is required.
• Sales team of 5 to 30 people
Tech startups and SaaS businesses

The limitations of Pipedrive—what happens "after" an order is placed

Because Pipedrive specializes in "sales opportunity management," there are patterns where problems arise after an order has been placed.

Limitation ①: After receiving an order, the customer becomes buried as a "past business deal."

Pipedrive pipelines are designed to manage "ongoing deals."
Once an order is placed and the negotiation is complete, that customer is archived as a "closed deal."

From the perspective of wanting to cultivate repeat business and referrals even after receiving an order, securing the order is not the goal, but the starting point of the relationship.
However, in Pipedrive's design, securing orders is the ultimate goal.

Limitation #2: There is no place to record the customer's "emotional changes."

"I feel like my relationship with Mr. Tanaka has cooled down a bit lately"—there's no place to record this feeling on Pipedrive.

Pipedrive has activity logs, notes, and custom fields.
However, Pipedrive does not have a design that incorporates the concept of "emotional temperature," that is, recording the emotional intensity of relationships with customers on a four-point scale, visualizing the distribution across all customers, and automatically generating follow-up tasks when the emotional intensity drops below "cool."

Limitation #3: The "relationship context" disappears when the person in charge changes.

Pipedrive records the history of business deals (when, what, and what the outcome was).
However, the primary purpose of Pipedrive is not to record things like "Why did this customer choose us?" or "What relationship context needs to be passed on when the person in charge changes?"

Limitation ④: Weak application in door-to-door sales and route sales.

Pipedrive is designed with "digitally-based sales" in mind.

"Which customers should I visit today?", "Prioritize visits based on the emotional state of the clients," "Optimize travel routes"—Pipedrive does not offer integrated design with GIS maps.
This difference is particularly pronounced in Japanese small and medium-sized enterprises (SMEs) that primarily rely on door-to-door sales and route sales.

"Sales Negotiation Management" and "Relationship Assets"—The Difference Between Two Design Philosophies

The questions that Pipedrive aims to answer and the questions that EMOROCO CRM Lite aims to answer are fundamentally different.

[Pipedrive's Question]
"How can we efficiently convert new business deals into orders?"

 → Visualization of the pipeline
 → Managing the next action
→ Discovering bottlenecks in business negotiations

[Questions about EMOROCO CRM Lite]
"How can we deepen our relationship with customers through data?"
Can we cultivate long-term trust and referrals?

→ Manage the emotional temperature of relationships
→ Optimize field sales with GIS maps
→ Maintain the relationship even after the change of responsibilities in the narrative.
→ Automate proactive follow-up with workflows

This isn't about which is better, but rather about "which question your company's business model addresses."

Cost Comparison – A 3-Year Total View

Expense items Pipedrive (5 people) EMOROCO CRM Lite (5 users)
Monthly license Approximately 16,000 yen~ ¥7,500
Initial cost ¥0 ¥0
Annual cost Approximately 192,000 yen~ ¥90,000
Total over 3 years Approximately 576,000 yen~ ¥270,000
Difference (over 3 years) +306,000 JPY

Pipedrive's monthly fee is more than double that of EMOROCO CRM Lite.
Over three years, the difference amounts to over 300,000 yen.

If your goal is to "make full use of Pipedrive's opportunity management features to increase new orders," then this cost difference can be justified.
However, if the main challenges are cultivating repeat business, referrals, and deepening relationships with existing customers, then it's worth reviewing the cost structure.

Patterns in which "switching from Pipedrive" occurs

Pattern 1: The new customer acquisition phase is over, and the challenge has become nurturing existing customers.
 As a startup grows,
"Retention of existing customers and referrals have become more important than acquiring new customers."
The Pipedrive design becomes incompatible with the current phase.

Pattern 2: The field sales team realizes that there is "no GIS".
While customer lists can be managed with Pipedrive,
I can't decide who to visit today using a map.
I continue to use the inefficient method of combining a map app and a physical planner.

Pattern 3: Customers leave every time the person in charge changes.
Pipedrive has a history of business negotiations,
"Why did this customer choose us?"
The context of the relationship cannot be carried over.
Each time the person in charge changes, the relationship with the customer is reset.

Pattern 4: Costs no longer justify the expense.
 Despite the high monthly fee,
In reality, we only use the pipeline and activity log.
A simpler and cheaper tool would have sufficed.

The option of combining two tools

Another option is to use Pipedrive and EMOROCO CRM Lite, each with its own specific role.

[Example of role division: New business development]

Pipedrive (New Business Opportunity Phase)
 Lead management
Visualization of the sales opportunity pipeline
 - Progress management until order is received

When an order is confirmed, customer data is transferred to EMOROCO CRM Lite via Zapier.

EMOROCO CRM Lite (Post-Order Phase)
 - Retention management based on emotional temperature
・Transfer of narrative when the person in charge changes
 • Designing for repeat business and referrals
Optimizing follow-up visits using GIS maps

The division of labor design, using Pipedrive for new business development and EMOROCO for relationship building after securing an order, is a way to utilize the strengths of both tools.

Summary of the decision

When should you choose Pipedrive?

  • The main business model is acquiring new customers, and the visualization and progress management of sales negotiations are top priorities.
  • 1. The sales cycle is short, and a simple tool specifically designed for pipeline management is needed.
  • Used with English-speaking global teams in tech and SaaS businesses.

When should you choose EMOROCO CRM Lite?

  • The main challenge is to increase repeat business and referrals from existing customers.
  • I want to use GIS maps for door-to-door sales and route sales.
  • We want to maintain relationships with customers even after the person in charge changes.
  • I want to receive specialized Japanese language support while keeping monthly costs down.
  • We want to deepen our relationships with customers, regardless of their location or size, through data.
