EMOROCO CRM Lite LINE Notification & Integration Complete Guide — Designing Alerts That Your Responsible Person Will Always Notice by Connecting Workflows and LINE
Hello, this is Matsubara, CRM Evangelist.
"Even if a task comes in the CRM, I won't notice it while I'm out."
"We want to know immediately when a customer's emotional temperature has cooled down."
"I want to eliminate the weekly reporting meetings, but I'm afraid I'll miss important changes."
All of these issues can be resolved by connecting EMOROCO CRM Lite workflows with LINE.
I only notice CRM tasks when I open my computer screen.
But I notice LINE notifications the moment they arrive on my smartphone.
This difference in "timing of awareness" determines how quickly you can follow up and maintain the quality of your relationship with the customer.
This article explains the specific design and configuration steps for integrating EMOROCO CRM Lite with LINE.
Why LINE notifications are necessary—designing "awareness"
EMOROCO CRM Lite's workflow automatically generates "tasks" when certain conditions are met.
However, tasks are information that "only those who open the CRM can see."
CRM task → Open the CRM app on your PC or smartphone → Notice
→ It's hard to notice when you're out and about or traveling.
→ "I'll check it later," and then forget about it.
→ Follow-up will be delayed
[Strengths of LINE notifications]
CRM workflow → LINE notification → Instant push notification to smartphone
→ You might notice it even when you're out.
→ You can take action the moment you see the notification.
→ No more missed follow-ups
In industries with a high volume of door-to-door sales and outside sales (such as real estate, insurance, construction companies, and home care services), a system that allows customers to "notice while they are out" can drastically change the quality of customer follow-up.
Three ways to collaborate
There are mainly three ways to integrate EMOROCO CRM Lite with LINE.
Method 1: LINE Notify (Personal LINE)
Overview: The simplest way to send notifications to a personal LINE account.
- Simplest setup
- Delivered directly to individual LINE accounts
- Ideal for one-on-one notifications (alerts sent to individual staff members)
・Available for free
Suitable cases:
- Notification to individual staff members of "customers to follow up with today"
- Immediate alerts for changes in emotional temperature
- Task deadline reminder the day before.
Method ②: LINE Official Account (Sending LINE messages to customers)
Overview: How to send LINE messages to customers.
- Automatically send LINE messages to customers from the CRM workflow.
- Features such as "automatic sending of follow-up messages 48 hours after the experience" have been implemented.
- You need to open an official LINE account (monthly fee applies).
Suitable cases:
Follow-up after trial lesson at the cram school
- Post-completion inspection notice from the construction company
- Beauty salon visit cycle reminder
- Insurance agent's pre-renewal notification
Method ③: LINE WORKS (LINE for businesses)
Overview: How to send notifications to a business LINE account.
• Secure environment for businesses
- Enables mass notifications to team groups.
- "If a customer's emotional temperature drops below 'cool', notify the sales group."
Suitable cases:
- Share alerts with the entire team
- Notification of escalation to manager
- Simultaneous notification to multiple personnel
Practical Design ①: Immediate notification to the person in charge via LINE when the emotional temperature drops below "cool".
scenario
The moment a customer's emotional state changes to "cool (blue)" or lower, the person in charge receives an immediate notification via LINE.
Because you can notice it even when you're out, you won't miss the opportunity to follow up.
Action: Notification sent to the person in charge via LINE.
[Follow me 🔵]

No hard selling. Just a quick update on what you're up to.
Setup Instructions (via Zapier)
App: “Webhooks by Zapier” → “Catch Hook”
Copy the generated Webhook URL.
STEP 2: Register the Webhook URL in EMOROCO CRM Lite.
Settings → External Connectors → Webhook
Registered as a trigger for "Emotional Temperature Change (Below Cool)"
STEP 3: Obtain a LINE Notify token
Access the LINE Notify official website (notify-bot.line.me)
"My Page" → "Issue a Token"
Select "Receive notifications from LINE Notify in a 1:1 format".
Copy and save the token
STEP 4: Set up LINE Notify actions in Zapier
Select the app: "LINE Notify"
Token: Enter the token from STEP 3.
Message: Set the notification message.
(Insert data received from EMOROCO CRM Lite)
STEP 5: Test
Actually changing the customer's emotional temperature to cool
Check for instant notifications on LINE
Practical Design ②: Send a reminder to the person in charge via LINE the day before the deadline for the workflow task.
scenario
A reminder notification is sent to the assigned person's LINE account the day before the deadline for tasks generated by the workflow.
This prevents situations where you forget you had a task to do.
Action: Notification sent to the person in charge via LINE.
"[Tasks due tomorrow 📋]
{task name}
Customer: {Customer Name}
Deadline: {Due date}
Please complete this by tomorrow."
Setup Instructions (Via Power Automate, Microsoft 365 Environment)
Set a schedule to run every day at 8 AM.
STEP 2: Retrieve a list of tasks due the day after their due date from EMOROCO CRM Lite.
"HTTP" action → EMOROCO CRM Lite REST API
Filter and retrieve tasks with a due date of tomorrow.
STEP 3: Send LINE notifications for each task.
"HTTP" action → LINE Notify API
Manage tokens for each person in charge and send individual notifications.
STEP 4: Test
Create a test task and check the notification the next morning.
Practical Design ③: Receive a notification on the team LINE the moment a new inquiry arrives.
scenario
The moment a new inquiry is received through the website's contact form, a notification is sent to the sales team's LINE group.
Since the response within the first hour significantly impacts the conversion rate, we need to design a system that allows for quick detection.
Action: Send a notification to the LINE WORKS team group.
[New Inquiry 🆕]
To: {Company Name} / {Contact Person Name}
Inquiry details:
{First 100 characters of your inquiry}
Responsible person: {Internal staff member}
CRM: {CRM URL}
Why is responding within one hour important?
Marketing research has shown that contacting a customer within one hour of their inquiry versus contacting them 24 hours later can result in a seven-fold difference in the conversion rate to a business deal.
Eliminating the "time lag before noticing" is the most crucial factor in handling inquiries.
Practical Design ④: Automatic follow-up notification 48 hours after the experience/initial contact.
Scenarios (cram schools, fitness centers, home care services, etc.)
48 hours after the trial lesson, trial enrollment, or initial visit, a notification will be sent to the person in charge's LINE account saying, "Please contact me immediately for follow-up."
This will definitely prevent situations like, "I meant to follow you, but I forgot."
Action: Notification sent to the person in charge via LINE.
[Follow for 48 hours ⏰]
48 hours have passed since {Customer Name}'s experience.
Reactions during the experience: {Reaction field during the experience}
Comparison with other companies: {Competitor comparison status field}
Please call me sometime today.
Please specify one positive aspect of the experience.
The effectiveness of 48-hour follow-up (industry reality):
In the cram school industry, data shows that the conversion rate to enrollment is, on average, 1.5 to 2 times higher when follow-up contact is made within 48 hours of a trial lesson compared to when contact is made a week later.
By using LINE notifications to ensure this timing is followed, the conversion rate will steadily increase.
Practical Design 5: Automatically send monthly emotional temperature summaries to managers' LINE accounts.
scenario
Every first Monday of the month at 9:1 AM, a "Summary of the Emotional Temperature of All Customers for the Month" is automatically sent to the manager's LINE account.
Without meetings or reports, you can grasp the overall situation simply by looking at your smartphone.
Action: Notification sent to manager's LINE account
[Monthly Emotional Temperature Report 📊]
Status for {Month} (Total {Number} Customers)
🔴 Hot: {Number of cases} companies ({Percentage}%)
🟠 Warm: {Number of cases} companies ({Percentage}%)
🔵 Cool: {Number of cases} companies ({Percentage}%)
🩵 Cold: {Number of cases} companies ({Percentage}%)
Compared to last month, the number of companies with a cool or lower rating increased/decreased.
Companies to watch out for this month: {Number of cases below Cool}
See the CRM dashboard for details.
This summary arrives on LINE, allowing managers to grasp the overall situation without having to gather in a meeting room.
As the next step after "abolishing weekly reporting meetings," automatically distributing monthly summaries via LINE is highly effective.
Four Golden Rules for Designing LINE Notifications
There are common, fundamental rules for designing notification systems that actually work well in practice.
Rule #1: Notifications should only include information that prompts action.
"Customer name's record has been updated."
Emotional temperature: Cool
Last contact date: 2026/06/01
Person in charge: Yamada
Date of registration: 2024/03/15
Industry: Manufacturing
Consulting fee: 50,000 yen per month
... (to be continued)
[OK] Sufficient notification to encourage action
[Follow us🔵] {Customer Name}
My emotional temperature has cooled down.
Please contact me sometime this week.
The only information you need to include in your notification is "who, what, and what should be done."
You can find more details by opening the CRM.
Rule #2: Start with a notification frequency of "3 or fewer per week."
Each person in charge will receive fewer than three LINE notifications per week until they become familiar with the process.
Setting up too many notifications from the start can lead to "notification fatigue," causing you to miss important notifications.
Start by setting up just one high-priority notification, and add more as you get used to it.
Rule #3: Use emojis that reflect the level of urgency.
We will standardize the emojis so that everyone on the team can judge the urgency at a glance.
🟠 Important: Action required this week
🔵 Normal: Action required by next week
📋 Task: Deadline
🆕 New: New information
📊 Report: Regular Summary
Rule #4: Turn off notifications at night and on holidays.
In the workflow settings, you can set the "time period for sending notifications".
We recommend turning off notifications between 22 PM and 7 AM, and on weekends.
Without clear boundaries, the person in charge will start to perceive CRM and LINE as "unpleasant things."
FAQ
Q: How long will LINE Notify be available?
LINE Notify has announced that its service will be discontinued in March 2025 (as of the time of writing this article).
As an alternative, please consider migrating to "LINE Messaging API" or "LINE WORKS".
Zapier offers both integration options.
Q: What is the difference between a LINE Official Account and LINE Notify?
LINE Notify is a notification service that sends messages from the CRM to individual staff members' LINE accounts.
The LINE official account will be used for "sending LINE messages to customers."
They have different uses.
Q: If there are multiple people in charge, can each of them receive a different notification?
Yes. EMOROCO CRM Lite workflows allow you to set different notification destinations for each person in charge.
Please set up a separate LINE token for each person in charge.
Q: Can I receive LINE notifications directly without using Zapier?
Using EMOROCO CRM Lite's Webhook function, it is technically possible to send messages directly to the LINE Notify API without going through Zapier.
However, knowledge of HTTP requests is required for configuration.
If you want to configure it without writing any code, we recommend using Zapier.
Summary — Designing "awareness" is the practice of CRM 4.0
No matter how precisely designed EMOROCO CRM Lite's workflows are, action won't be taken without "awareness."
LINE notifications aren't a request to "check your CRM more often," but rather designed to "allow you to notice important changes without having to open your CRM."
The moment my emotional temperature turned cool, I received a LINE message.
A LINE message arrives 48 hours after the experience.
The moment a new inquiry arrives, you receive a LINE message—this "awareness design" ensures zero follow-ups and maintains a high level of customer relationship.
Please set up just one first.
Starting the day after setting up instant notifications for an emotional temperature of "cool" or lower, your behavior will change.
