EMOROCO CRM Lite CSV Import Complete Guide — Steps to Migrate Customer Data from Excel or CRM Today
Hello, this is Matsubara, CRM Evangelist.
"I want to switch CRMs, but I don't know how to transfer my current data."
This single comment has caused many companies to postpone switching providers.
After comparing the features and deciding to go with EMOROCO, I ran into the problem of "but migrating the data seems like it will be a lot of work."
It says from conclusion.
Importing a CSV file into EMOROCO CRM Lite can be completed in under 30 minutes once you're familiar with the process.
This article provides a detailed explanation of how to migrate data from Excel spreadsheets or other CRMs such as Salesforce, kintone, and HubSpot to EMOROCO CRM Lite.
Overview of CSV Import
STEP 2: Format the CSV file for EMOROCO CRM Lite (10-20 minutes)
STEP 3: Import into EMOROCO CRM Lite (5 minutes)
STEP 4: Post-import verification and setting of emotional temperature (15-30 minutes)
No advanced technical knowledge is required.
If you can use Excel or Google Sheets, we can handle it.
STEP 1: Export existing data as a CSV file.
When migrating from Excel
Save the customer list, which is managed in Excel, in CSV format.
1. Open the Excel file.
2. Go to "File" → "Save As"
3. Change the file type to "CSV UTF-8 (comma delimited)".
4. Save
note: To prevent character encoding issues, please be sure to select "CSV UTF-8".
Selecting "CSV (Comma delimited)" (Shift-JIS format) may result in garbled Japanese characters.
When migrating from Salesforce
1. "Reports" → "New Report" → "Customers and Customer Contacts"
2. Add the necessary items and run the report.
3. "Export" → "Details in Excel format" → Download in CSV format
* Bulk export is also possible from the Data Export tool (Settings → Data Management).
When migrating from HubSpot
1. "Contacts" → "Export"
2. Select "All Properties" or the items you need.
3. Request export in "CSV" format.
4. A download link will be sent to your registered email address (a few minutes to a few tens of minutes).
When migrating from kintone
1. Open the target app.
2. "..." (Other Options) → "Export"
3. "CSV" → "Export"
When migrating from other CRM tools
Almost all major CRMs have a CSV export function.
It's definitely located somewhere under "Settings," "Administration," "Data Management," or "Export."
If you can't find it, please search for "[Tool Name] CSV Export".
STEP 2: Format the CSV file for EMOROCO CRM Lite
This is the most important step.
This modifies the column names (header row) of existing data to correspond to the field names in EMOROCO CRM Lite.
Standard fields in EMOROCO CRM Lite (for import)
| EMOROCO CRM Lite field names | Message | Required |
|---|---|---|
| Company Name | Names of business partners and customers | ◎ |
| Contact name | Name of the person in charge | ○ |
| Email Address | Contact email | ○ |
| Phone Number | Main telephone number or direct line to the person in charge | ○ |
| Address | Displayed on a GIS map (up to the prefecture and city/town level). | ○ |
| Industry | Industry Category | ○ |
| emotional temperature | Hot, Warm, Cool, Cold | △Can be set later |
| Person in charge (internal) | Name of our company's sales representative | ○ |
| Last contact date | Last contact or visit date | △ |
| Notes | Free-form narrative | △ |
Column name mapping process
We will change the column names of the existing data to match the above.
Simply open it in Excel and change the text in the header row.
Example: In the case of exported data from Salesforce
Account Name → Company name
Contact Name → Name of the person in charge
Email → Email Address
Phone → Phone number
Billing Address → Address
industry → industry type
Owner → Person in charge (internal)
Last Activity Date → Last contact date
Description → Memo
Example: In the case of data exported from kintone
Customer Name → Company Name
Name of person in charge → Name of person in charge
Email address → Email address
Phone number → Phone number
Address → Address
Checklist before importing
Please check the following before importing.
□ Is the character encoding set to UTF-8?
□ Check if there are any blank or duplicate rows.
□ Is the phone number format standardized? (Example: 03-1234-5678)
□ Is the date format consistent? (e.g., 2026/01/01 or 2026-01-01)
□ Check if there are any blank spaces in the company name column (required field).
Common data formatting problems and solutions
Problem 1: The address is divided into "prefecture," "city/ward/town/village," and "street number."
To utilize the GIS map effectively, addresses will be consolidated into a single column.
= A2 & B2 & C2
(Assuming column A = prefecture, column B = city/ward/town/village, and column C = street address)
After combining, copy the values using "Paste Special" → "Values Only".
Please delete the original three columns.
Problem ②: The name is divided into "surname" and "given name".
=A2&" "&B2
(If column A is the last name and column B is the first name, insert a space between them.)
Problem 3: The phone number consists only of numbers without hyphens (e.g., 0312345678)
EMOROCO CRM Lite can import data without hyphens.
That's fine as it is.
Problem 4: There are unnecessary columns in the import.
Please delete any unnecessary columns.
Column names that EMOROCO CRM Lite doesn't recognize will be skipped, so you don't need to delete them, but simplifying the file will reduce the chances of errors.
STEP 3: Import into EMOROCO CRM Lite
Import procedure
2. Open the "Customers" or target entity list screen.
3. Click the "Import" button.
4. Upload the formatted CSV file.
5. Verify the column mapping.
→ CSV column names and EMOROCO CRM Lite fields are
Check if it is working correctly.
6. Click "Execute Import".
7. Confirm completion notification.
Column mapping verification
On the import screen, you can check and correct the correspondence between "CSV column names" and "EMOROCO CRM Lite fields".
If you correctly changed the field names in STEP 2, the mapping will be done automatically.
If the automatic mapping is incorrect, please correct it manually using the dropdown menu.
Estimated number of imports
| number | Estimated processing time |
|---|---|
| ~100 items | Immediate (few seconds) |
| 100-500 items | Several tens of seconds to 1 minute |
| 500-2,000 items | 1-3 minutes |
| More than 2,000 items | Several minutes (background processing) |
STEP 4: Confirmation after import and setting the emotion temperature
Once the import is complete, proceed in the following order:
① Check the imported contents (5 minutes)
□ Check if the number of items matches (compare the number of items before and after import).
□ Check for garbled characters (especially in Japanese notes and addresses)
□ Are the pins displayed correctly on the GIS map?
□ Is the assignment of personnel correct?
② Batch setting of emotional temperature (15-30 minutes)
Immediately after importing, all customers have no emotion temperature set.
Please be sure to complete this task on the same day.
Setting the emotional temperature is the first way to create value by using EMOROCO CRM Lite.
1. Open the customer list.
2. Filtering by emotional temperature (not set)
3. Each person in charge will set up the customers in order of who they know best.
Estimated setup time:
100 items → about 20-30 minutes
300 items → about 45-60 minutes
Over 500 items → Set up over multiple days (divide among different staff members)
Almost all companies that set emotional temperature for all data after importing found that "there were more 'cool' or lower than expected."
This discovery became the initial impetus for us to seriously begin using EMOROCO CRM Lite.
③ Workflow setup (from the next day onwards)
Once you've finished setting the emotional temperature, set up one workflow for the following day or later.

FAQ
Q: What should I do if I encounter an error during import?
The error message will show "which row and which column the error is in."
In most cases, it's one of the following:
① If the character encoding is not UTF-8, save the file again in Excel using "Save As" and selecting "CSV UTF-8".
② Required fields (such as company name) are left blank → Check and correct the blank rows.
③ Inconsistent date formats → Standardize to YYYY/MM/DD or YYYY-MM-DD format.
④ The file is corrupted → Reopen the CSV file in Excel and save it again.
Q: What happens to the data in existing CRM custom fields?
Column names not recognized by EMOROCO CRM Lite will be skipped during import.
Important custom field data can be transferred by creating fields with the same names in EMOROCO CRM Lite before importing.
Q: Can I modify or delete data that has already been imported?
Yes. All imported data will be registered as regular customer data, so you can edit them individually or delete them in bulk.
Q: What happens if the imported data and existing data are duplicates?
You can select "Handling of duplicates" in the import settings.
Please choose either "Skip (ignore duplicates)" or "Overwrite (update existing data)".
Q: Is there a maximum number of items that can be imported?
You can import up to the standard record limit in a single batch.
For large datasets, it is recommended to run the process in multiple batches.
Three tips for a smooth transition
Tip #1: Start by trying just 100 options.
Before migrating all records, please try importing with approximately 100 test data entries.
Performing mapping checks, character encoding issues, and GIS address display checks in small increments can prevent problems during the full migration.
Tip #2: Delete unnecessary columns before importing.
If your source data has 10 or 20 columns, you should narrow it down to only the columns required for EMOROCO CRM Lite before proceeding.
The simpler the CSV file, the fewer errors there are, and the faster the mapping verification.
Tip #3: Advance the free trial while migrating.
While migrating data, please begin setting up emotional temperature and workflow settings in parallel.
The golden rule for CRM adoption is not to "start using it only after all the data is collected," but rather to "organize the data while using it."
Summary — The idea that "data migration seems difficult" was a misconception.
Importing data via CSV is not difficult. If you can use Excel, you can start today.
The essential cost of the migration lies not in "formatting the CSV file (10-20 minutes)" but in "setting the emotional temperature for all records (30-60 minutes)".
But it is precisely during these 30 to 60 minutes that EMOROCO CRM Lite first creates value.
The real use of EMOROCO CRM Lite begins with the discovery that "the number of people rated 'Cool' or lower was higher than expected."
