Turning the 6 Key Factors of CRM 4.0 into Practice — A Summary of EMOROCO CRM Lite Implementations for Each Key Factor

Hello, this is Matsubara, CRM Evangelist.

Understanding the philosophy behind CRM 4.0 is different from actually implementing CRM 4.0.

Understanding concepts like "empathetic intelligence," "well-being," and "self-evolving CRM" is meaningless unless it translates into "what to do starting today."

This article is the practical application of the "Explanation of the Philosophy of CRM 4.0 Key Factors."
We will translate each of the six key factors into "Specific designs that can be implemented today with EMOROCO CRM Lite."

If you want to understand the overall concept first, please see " A Complete Explanation of the Six Key Factors of CRM 4.0 ." This article is the "practical application" of that article.

Key Factor ①: Implementation of Emotional Intelligence

The core idea: AI understands customers' emotions, culture, and values, and responds not by "detecting," but by "resonating" with them.

Implementation in EMOROCO CRM Lite

Implementation field:

field name Objective
emotional temperature Record the emotional intensity of your relationship with customers on a four-point scale. Track changes in their emotions over time.
ICX capture (a phrase that really resonated with me) Record the language frame at the moment the customer leans forward.
ICX Capture (a phrase that didn't resonate) Record explanations and approaches that received little response. Use them for future revisions.
Shared values Record in 1-2 sentences what this customer values most.
Cultural background notes For global operations: Customer cultural backgrounds and communication style characteristics

Implementation workflow:

Post-contact "empathic intelligence recording routine" (completed in 3 minutes):

① Update your emotional temperature (be aware of the changes from last time).
② If there is one phrase from today's conversation that "resonated" with you, record it.
③ Record any phrases that didn't resonate with you (this is more important).
④ If the emotional temperature changes to a cooler state → Narratively record what needs to be confirmed in the next interaction.

The first step you can take starting today:
Set the emotional temperature for all customers.
After the next encounter, record only one phrase that "struck a chord" with you.
The implementation of empathetic intelligence begins with these two actions.

Key Factor ②: Implementation of a well-being-linked CX

The core of our philosophy: Going beyond "transaction satisfaction" to focus on "customer well-being." Integrating the PERMA theory (Positive Emotion, Immersion, Relationship, Meaning, Achievement) into the customer experience.

Implementation in EMOROCO CRM Lite

Implementation field:

field name Objective
Wellbeing Memo Record "what situation this customer's life is currently in," including work, family, health, and goals.
Life Stage Current situation such as startup phase / growth phase / stability phase / succession phase / transition phase
Life goals memo Extract and record from the conversation what this customer wants to achieve in 5 years.
Anniversary/Milestone "Milestones to celebrate" such as the company's founding anniversary, birthdays, and children's school entrance.

Implementation workflow:

Designing well-being-linked follow-up:

Trigger: One month before the anniversary field (every year)
Action: "One month until {Customer Name}'s {Anniversary Name}."
Send congratulatory messages without any sales pitches.
Update your current situation in your well-being memo.

Trigger: Life stage changes to a "transition period"
Action: "Customer's status has changed."
What problems are you currently facing? What are your goals?
"To create opportunities for thorough listening."

The first step you can take starting today:
For each of our 10 main clients, write a single sentence in their well-being memo stating, "What is the most important thing in this person's life right now?"
This alone will change the quality of your next interaction.

Key Factor ③: Implementation of a Self-Evolving CRM

The core of the philosophy: AI will autonomously optimize and continuously grow. Design a feedback loop where "the more you use it, the smarter it becomes." Not a "new graduate recruitment type (learning from scratch)" but a "mid-career recruitment type (ready to contribute immediately based on collective intelligence)."

Implementation in EMOROCO CRM Lite

The implementation of a self-evolving CRM is achieved through "continuous input into fields" and a "data review cycle."

Three engines of self-evolution:

Engine ①: Emotional Temperature Change Data As patterns of emotional temperature changes accumulate, it becomes possible to predict "this customer is likely to become distant at this time."

Engine ②: Recording the reasons for losing a deal and the reasons for closing a deal.

Additional fields:
Reasons for losing the deal (multiple choice): Price / Timing / Competitor / Insufficient features / Contact person / Budget / Other
• Decisive factor in closing the deal (text): In one sentence, describe the most important factor that led to the closing of this deal.
• Results of hypothesis testing (text): What we learned from this business negotiation.

Engine ③: Weekly Review Cycle

A weekly 15-minute "investment in AI" routine:

① Reflect on your emotional temperature fluctuations this week (3 minutes)
→ Customers have become more reserved: Why? What has changed?
→ Hot customers: What was the trigger?

② Record the reasons for any lost or closed deals (5 minutes)

③ Write a one-sentence summary of "This Week's Discovery" (2 minutes)
→ "In the XX industry, the word △△ is likely to resonate."
→ "The peak of emotional temperature cooling occurs three weeks after the visit."

④ Check the dashboard for next week's follow-up priorities (5 minutes)

The first step you can take starting today:
After each business negotiation, record only one reason for the deal's loss or the key factor that led to its successful completion.
You'll start to see your company's winning formula in three months.

Key Factor ④: Implementation of Web3.0/Metaverse support

The core of the philosophy: In an era where customers own their own data, we design relationships to handle only "information provided by customers (zero-party data)."

Implementation in EMOROCO CRM Lite

The most practical implementation at this point is "zero-party data design."

Design principles for zero-party data:

[Criteria for data to be recorded]

✅ Information provided by customers themselves
"My child is going to university soon."
"We have plans to expand our business next year."
"I'd like to travel to Europe someday."

✅ Information about the moment when the customer leaned forward (ICX)
"At that moment, the word 'XX' changed my perspective."

❌ Data collected without the customer's knowledge
(Web behavior tracking, purchase of third-party data, etc.)

Additional fields (Web3.0 compatible):

field name Message
DAO Member / Community Participation Participation in the Web3 community (for global deployments)
Interest in digital assets Interest in NFT and blockchain-related businesses (if applicable to your industry)
Participating in a virtual exhibition Record of participation in the Metaverse Online Event

The first step you can take starting today:
Establish a rule to record only "information that the customer has voluntarily shared" in the narrative memo.
Simply being aware of the distinction between "data that was shared" and "data that was collected" is the starting point for designing zero-party data.

Key Factor 5: Purpose-Driven Implementation

The core of the philosophy: To cultivate long-term fans from customers who resonate with the company's Why (reason for existence). To build deep bonds with customers not by focusing on "what to sell," but on "why we exist."

Implementation in EMOROCO CRM Lite

Additional fields:

field name Message
Purpose and points of agreement Record "which of our company's purposes this customer resonates with."
Self-actualization context "What is this customer trying to achieve?" — WHY-level information
Points of agreement in values "Where do our company's values and our customers' values overlap?"

Implementation design:

Purpose-driven contact design:

① Contact that discusses purpose (approximately once every four contacts)
Instead of simple sales and reporting, we need to explain "why we do this job."
Create opportunities to communicate in natural conversation.
The narrative records whether there was a response to the purpose.

② Contact that resonates with the customer's purpose
Questions that elicit the customer's "why":
"What is the main reason your company continues this business?"
"What kind of company do you want your company to be in 10 years?"
Record your answer in the "Self-Actualization Context" field.

③ Once you find common ground in purpose, "articulate and communicate it."
"Your company's goal of XX and our mission of YY are..."
I believe we are all heading in the same direction."
This single phrase transforms a transactional relationship into a "co-creative relationship."

The first step you can take starting today:
For each of the five main customers, record in one sentence in the "Self-Actualization Context" field "What this customer truly wants to achieve."
Understanding this will change the focus of your next proposal.

Key Factor ⑥: Implementation of Holistic Analysis

The core of the philosophy: To understand customers not as "partners in transactions," but as "holistic human beings with health, lifestyle, thoughts, and social relationships."

Implementation in EMOROCO CRM Lite

Additional fields (for holistic analysis):

field name Types Message
Interest in health and physical condition text Information obtained from conversation, such as "You seem to be concerned about your health lately."
Changes in family structure text Life milestones such as marriage, childbirth, children becoming independent, and caregiving.
Hobbies and interests text Areas of interest outside of work (information that can serve as a starting point for contact)
Changes in social roles text Examples include "I became the chairman of the Chamber of Commerce" and "I took on a role as an officer in the PTA."
My vision for 10 years from now text "What do you want to be like in 10 years?" (as elicited from conversation)

Three principles of implementation:

Recording principles for holistic analysis:

① Record only the information you have been given.
We only include information that the customer has voluntarily shared. We do not conduct any prying or investigations.

② The more information there is about topics other than "work," the deeper the relationship.
When the proportion of "information outside of work" in the narrative increases,
The relationship with that customer has reached a holistic level.

③ Demonstrate through your actions that you "understand the big picture."
You can ask, "How did your child's entrance exams go?"
"You were talking about health the other day," they could say, continuing the conversation.
"Using recorded information to make contact" deepens trust.

The first step you can take starting today:
This week, if a topic unrelated to work comes up in a conversation with a client, I'll jot down just one sentence about it in my narrative memo.
"They talked about their children," "They were talking about travel"—just these simple things can create more opportunities for further contact.

Prioritizing the implementation of the six key factors

If you try to start all six at the same time, you'll end up doing all of them half-heartedly.
The following order is recommended for implementation priority:

[Recommended implementation order]

STEP 1 (Starting today): Key Factor ① Empathic Intelligence
→ Setting emotional temperature. Making ICX capture a habit.
→ The smallest unit of implementation that everyone can start today.

STEP 2 (1 month later): Key Factor ③ Self-evolving CRM
→ Recording of reasons for lost deals and reasons for successful deals. Weekly review cycle.
→ As more data is accumulated, the accuracy of the AI improves.

STEP 3 (3 months later): Key Factor ⑥ Holistic Analysis
→ Narrative recording of information unrelated to work.
→ Once the emotional temperature stabilizes, the "depth" design is added.

STEP 4 (6 months later): Key Factor ② Well-being
→ Design of the Wellbeing Memo Life Stage Field.
→ Use the information obtained from holistic analysis to "design a sense of well-being."

STEP 5 (1 year later): Key Factor 5: Purpose-Driven
→ A record of points of agreement in self-actualization contexts and values.
→ One year's worth of data will form the basis for "deep Why dialogue."

STEP 6 (Ongoing): Key Factor ④ Web 3.0/Metaverse
→ The spread of the zero-party data principle.
→ Once the other five elements are in place, it will be designed as a "preparation for the future."

Summary — Transforming "Ideas" into "Habits"

The key factors of CRM 4.0 are a complex concept.
But the implementation is simple.

There's only one thing you can start doing today: Set emotional temperature settings for all customers.

The initial discovery of "what percentage of people are below 'cool'" marks the beginning of implementing the six key factors.
That discovery will tell you which of your company's key factors is the most urgent.

I've written plenty of articles discussing my ideas. Now it's just a matter of putting them into practice.
