EMOROCO CRM Lite 50 Frequently Asked Questions — Answers to all your questions before implementation
Hello, this is Matsubara, CRM Evangelist.
"We're considering implementing it, but there are a few things we'd like to confirm."
It's been two months since we released EMOROCO CRM Lite.
We've already received many inquiries, and some customers have already implemented our system. However, we've noticed that the same questions keep coming up repeatedly in these inquiries.
"Is it secure?", "What will happen to my existing Excel data?", "Can I use it even if I'm not tech-savvy?"—these are all things you naturally want to know before implementation.
This article answers 50 frequently asked questions all in one place. Please start reading from the questions that interest you most.
[Fees and Contracts]
Q1. Does "¥1,500/user per month" mean ¥1,500 per person?
Yes, that's correct. If five people use it, the monthly fee will be 7,500 yen (1,500 yen x 5 people).
There are no initial costs.
Q2. What is the minimum number of users required to sign up for a contract?
The minimum number of users is 3 (¥4,500 per month).
While we don't currently support use by just one or two people, in industries with many individual offices, it's possible for a representative to purchase the software and share it with everyone, utilizing security roles and form-specific security.
For management in that case, you can also entrust it to Arcus Japan, although this will incur additional costs.
Q3. Is there a free trial?
Yes, we offer a 30-day free trial.
You can operate and test the software in a way that closely resembles actual work.
Q4. Are there any restrictions on the contract period?
This is a monthly subscription, and you can cancel it on a monthly basis.
While there are no long-term contract obligations, CRM systems are most effective with long-term implementation, so we do not recommend canceling the contract in the short term.
Q5. Can I add or remove users midway through the process?
Available
We are flexible in handling changes to the number of users.
Q6. What are the fees for the additional options?
The following optional charges apply.
| Option | Price |
|---|---|
| Add records (+5 records at a time) | 500yen / month |
| Database capacity increase (+1GB increments) | 500yen / month |
| File storage capacity increase (in increments of +10GB) | 1,000yen / month |
| Customer portal function (per 100 users) | 20,000yen / month |
Q7. Can I use the Digitalization/AI Implementation Subsidy (formerly the IT Implementation Subsidy)?
Yes, EMOROCO CRM Lite is registered as an eligible tool for the Digitalization and AI Introduction Subsidy 2026 (Tool number:DL07-0022934).
If a 1/2 subsidy rate is applied under the standard framework, the actual cost is halved.
Please note that contracts and implementations made before the grant decision will not be eligible for subsidies.
Q8. Can I pay by invoice?
For details on payment methods, please contact Arcus Japan ( https://www.emoroco.com/ ).
[Introduction and Setup]
Q9. Can it be implemented even without an IT specialist?

Our design centers around a UI where the main operation can be completed in three clicks or less.
Q10. How long does the implementation take?
With basic setup and customer data import, you can start using the system in as little as half a day to a day.
However, if you plan to carefully design the field and configure the workflow, please allow 1-2 weeks.

By changing the pin color according to emotional temperature (red = hot, orange = warm, blue = cool, light blue = cold), you can instantly see which customers you should visit today by looking at the map.
Q20. What is Business Process Flow (BPF)?
This feature manages the progress of projects, applications, and responses in stages (phases).
We define the process as stages, such as "initial meeting → proposal → quotation → order," and set completion conditions for each stage to prevent any omissions.
Q21. How do I set up LINE notifications?
You can select LINE notifications from the workflow settings screen.
You can set up automatic notifications, such as "Notify me on LINE when my emotional temperature changes to cool," without any programming.
Q22. What can be done with workflow automation?
You can automate actions such as task generation, notification sending (LINE/email), and external API execution by triggering the creation or update of records.
You can set up things like "automatically generate follow-up tasks when emotional temperature changes" and "send a reminder two months before contract renewal."
Q23. What can the customer portal function do?
This feature allows you to create web forms for customers and business partners, directly linking inquiries, document requests, and applications to your CRM. (Optional: ¥20,000/month for 100 users)
Form submissions are instantly registered as CRM records, and the workflow is automatically executed.
Q24. What is an external connector?

It can be integrated with accounting systems (freee, Money Forward, etc.), sales management systems, Slack, Teams, Zapier, Power Automate, and more.
Q25. How many custom fields can I create?
There are no restrictions on usage, but there are limits on storage capacity. Please contact us or check with our 30-day free trial.
In practice, it's common to set up around 5 to 15 custom fields for each industry.
Q26. What formats are supported for importing into Excel?
It supports Excel (.xlsx) and CSV formats.
The column names are mapped to fields in EMOROCO CRM Lite and imported.
[Security Infrastructure]
Q27. Where will the data be stored?
Standards are stored in the Microsoft Azure cloud environment (Japan region).
Azure has obtained enterprise-level security certifications (such as ISO 27001).
Q28. Is self-hosting (using your own server) possible?
Yes, it is supported.
We can meet the requirements of industries such as finance, healthcare, professional services, and manufacturing, which do not want to store customer data on external cloud services.
It can be built on your own Azure environment or on your own servers.
Q29. What are your security certification and compliance requirements?
We utilize Microsoft Azure infrastructure, ensuring enterprise-level security.
For detailed information regarding certification and compliance, please contact Arcus Japan.

The security role feature allows you to finely configure the data that can be displayed and the access permissions for each role (such as executives, managers, sales representatives, and agents).
Q31. Can this be expanded to agencies and group companies?
Available
The multi-tenant function allows you to design a system where the head office, group companies, agencies, and franchisees each have their own independent CRM space, while sharing only the necessary information.
Q32. What about backups?
In a cloud environment, you can use Microsoft Azure's backup function. For details, please contact Arcus Japan.
[How to use and establish]
Q33. I'm worried whether the person in charge on site will actually enter the data.
EMOROCO CRM Lite prioritizes a design that makes users *want* to input data, rather than simply forcing them to do so.
Entering an emotional temperature automatically generates a "list of customers to contact today"—the key to its adoption is creating an experience where the person in charge feels that "entering the data helps them."
The user experience, which allows users to complete operations in three clicks or less, also minimizes the input burden.
Q34. I'm worried that it will be implemented but then not used.
The design process during the first 30 days determines whether or not the project will be successfully implemented.
Three principles—"start with just 5 fields," "designate one CRM doctor (manager)," and "use the dashboard in weekly meetings"—will increase the retention rate.
Q35. Is it okay if employees have no experience using CRM?
It's okay.
Thanks to its metadata-driven design, even users with no CRM experience can add and modify fields from the administration screen.
No complicated settings are required; you can start using it with a similar feel to Excel.
Q36. What kind of customization is possible?
Adding, modifying, and deleting fields, changing form layouts, customizing views (list views), configuring workflows, and building dashboards—all of this can be done without coding.
You can implement what you realize today, today, without any programming required.
Q37. Can it be used simultaneously by multiple industries/departments?
Yes.
Entities (data types) can be custom designed for each industry and department.
It is also possible to use different forms for the sales department and the maintenance department.
[Comparison with other tools]
Q38. How is it different from Salesforce and HubSpot?
The biggest difference is "what it's designed for."
Salesforce and HubSpot offer a wealth of features for large enterprises and for acquiring new customers.
EMOROCO CRM Lite has strong features designed to help Japanese small and medium-sized enterprises deepen relationships with existing customers and create organizations where those relationships continue even when personnel changes.
Sentimental temperature, GIS maps, industry-specific templates, and self-hosting are features not available in Salesforce.
Q39. How is it different from kintone?
kintone is a platform for creating your own business applications.
While it is possible to create a CRM with this tool, it differs from EMOROCO, which is "designed and optimized as a CRM from the outset."
Emotional temperature, GIS maps, and industry-specific templates are not available in kintone and must be built by the user.
Additionally, a minimum contract of 10 users (Standard Course) is required.
Q40. How is it different from Notion or Excel?
Notion is a versatile tool, but it cannot design workflows that automatically generate tasks in response to changes in the customer's emotional state.
Excel is only suitable for use as a CRM system because it can only handle real-time sharing and automation across multiple users and devices.
[Concepts specific to EMOROCO CRM Lite]
Q41. What is "emotional temperature"?
This field records the level of customer relationship on a four-point scale (red = hot, orange = warm, blue = cool, light blue = cold).
It visualizes the "quality of customer relationships," which cannot be quantified, and allows you to use data to determine "who to prioritize contacting today."
Q42. What is a "narrative memo"?
This field allows you to freely record qualitative information such as "words that resonated," "decision-making patterns," and "the atmosphere the person in charge felt" that you noticed during conversations with customers.
We accumulate information that cannot be expressed numerically as an organizational asset and utilize it for handover when personnel changes occur.
Q43. What is a "CRM Doctor"?
This refers to the internal person responsible for CRM maintenance and updates.
Just as a doctor regularly checks on patients, this role involves checking and improving the "health" of the CRM (input rate, emotional temperature quality, and workflow functionality) about once a month.
We recommend that you select at least one person.
Q44. What is "CRM4.0"?
This is the latest customer management concept proposed by Arcus Japan.
This refers to a shift from "management-based CRM (CRM 1.0-3.0)" to "customer-driven CRM (CRM 4.0)."
This design philosophy resonates with customers' emotions, values, and subconscious minds, aiming not for "data management" but for "relationship building."
Q45. Can it be used in enterprise companies?
Yes.
Although it's advertised as being "for small and medium-sized businesses," the infrastructure is enterprise-grade Microsoft Azure, and it's designed to handle large-scale deployments with features like security roles, multi-tenancy, and self-hosting support.
We also handle expansion to group companies and overseas branches, agency management, and franchise headquarters management.
[About Support and the Company]
Q46. What kind of company is Arcus Japan?

The company name "Arcuss Japan" is a coined word derived from "Artists for Customer Success."
Q47. Can I receive support in Japanese?
Yes, we offer chat and email support in Japanese.
Q48. What happens to the data when the service is terminated?
With features like Excel export and app backup, you can take your data with you anytime.
For information regarding data portability upon service termination, please contact Arcus Japan.
[Final check before implementation]
Q49. What kind of companies are you suited for, and what kind of companies are you not suited for?
Suitable companies:
- Small and medium-sized enterprises (SMEs) that want to deepen relationships with existing customers
- A sales organization primarily focused on door-to-door sales and route sales.
- I want to create a system that maintains the relationship even after the person in charge changes.
- We need enterprise-level security while keeping monthly costs down.
- I need practical design solutions for specific industries (professional services, real estate, construction companies, insurance, manufacturing, etc.).
Companies that are not suitable:
- I want to focus on MA and content SEO for acquiring new customers (→ HubSpot is suitable).
- For large-scale global deployments, having Salesforce certified personnel within the company is necessary (→Salesforce is the appropriate choice).
- Use by 2 or fewer people (minimum 3 users required)
Q50. Where should I start?
Start with a 30-day free trial. There's only one thing to do first—import your customer list and set sentiment levels for all of them.
